Organizational Overview

The U.S. Department of Energy’s (DOE) Brookhaven National Laboratory operates two inter-linked research centers for life and environmental sciences: The Center for BioMolecular Structure (CBMS) located at the National Synchrotron Light Source II (NSLS-II), and this spring opened its new Cryo-Electron Microscopy (Cryo-EM) Center, the Laboratory for BioMolecular Structure (LBMS) located adjacent to NSLS-II. The two centers work closely to provide a state-of-the-art research center for life sciences supporting imaging from the molecular to the environmental. The LBMS will offer two advanced cryo-electron microscopes for studying complex proteins, as well as the architecture of cells and tissues.

Position Description

The selected candidate will report to the Director of the Center for Biomolecular Structure (CBMS) and serve as the administrative point of contact for the Center.  Incumbent will use technical writing skills and handle all administrative functions associated with both the new Cryo-EM Center and the CBMS.  With a high level of independence, incumbent will coordinate all administrative activities for a large, multi-national, team and to researchers from a combination of national laboratories, universities, and industry partners.

Essential Duties and Responsibilities:

Administrative Support:

  • Assist the Cryo-EM Center and CBMS staff and users with calendar scheduling and management, travel, procurement, budgeting and other administrative tasks associated with the group.
  • Event organization – coordinate and schedule meetings.
  • Attend weekly team meetings, record notes, and follow up on action items.

Technical Writing:

  • Assist in managing, maintaining, and analyze information in the Cryo-EM Center’s SharePoint site which will include a document repository.  Examples of documents to be retained will include policies, procedures, charters, etc.
  • Writing and editing skills to support the compilation and submittal of grants, reports to DOE/NIH.
  • Assist the program lead to organize the Outreach Program and User Program.
  • Assist the NSLS-II User Office with scheduling and accounting metrics for use of the CBMS and LBMS.

Position Requirements

  •  Bachelor’s degree in English, a technical field or other relevant field, or equivalent experience, generally on the basis of 2:1 (experience: college) years.
  • Ability to analyze and edit complex documents.
  • Proficiency in Adobe Acrobat and MS Office 365 to include Word, Excel, Outlook, PowerPoint, SharePoint, TEAMS  Proficient in ZOOM.
  • Knowledge of document control and records management.
  • Must demonstrate excellent training in office management and administration for contemporary workplace environments.
  • Well-developed interpersonal skills with proven ability to work with a large diverse team.
  • Discretion in handling confidential and/or highly sensitive matters.

Preferred Knowledge, Skills, and Abilities:

  • Demonstrated experience using document control systems in SharePoint or other document management/record keeping systems.
  • Experience using databases including creation and development of dashboards.
  • Contract experience – generation of statements of work, correspondence, invoicing, etc.
  • Experience with PeopleSoft, PowerBi, and CONCUR.

Environmental, Health & Safety Requirements:

  •  Ability to operate a copying/scanning machine, folder and file drawers and lift 15 lbs.
